ClosePinger
Client portal and document-collection SaaS for bookkeeping firms — request files, automate reminders, and track month-end close.

Overview
Turns document chasing into trackable, automated requests with secure handling of sensitive financial files.
The challenge
Document collection was a black hole of email follow-ups. Firms needed automated, trackable requests with secure handling of sensitive financial files.
The solution
A Next.js client portal on a Node.js API with role-based access control, encrypted file storage, and a scheduled reminder engine, all on PostgreSQL.
What we delivered
- Full-stack engineering across client and server layers
- Secure upload architecture with encrypted storage and role-based access
- Reminder automation engine on scheduled jobs
- Ran discovery with accountants and scoped the product around their month-end close workflow
- Tracked what each client still owed, whether they had paid, and extra work to be billed
- Deployed the backend on Supabase, Cloudflare, and AWS, and the web front end and client portal on Vercel
Key engineering decisions
- Role-based access control from the start — accountants, clients, and staff see different views
- Structured uploads into the portal rather than email attachments
- Scheduled reminder cadence instead of manual follow-up

Results
Firms request, track, and close document collection in one place, with automated reminders replacing manual chasing and real-time month-end close status.
Lessons learned
- For back-office SaaS, reducing anxiety (clear status, gentle automation) matters as much as raw features.
